We have an exciting opportunity for a motivated, enthusiastic Admin Team Lead to work with Resolve Staff Support Service providing a service to DCHS staff throughout Derbyshire.

Main duties of the job

The post holder will provide operational support to the Resolve Staff Support Service. 

You must be able to demonstrate good communication skills and be able to work with confidentiality issues as well as have proven ability to manage staff and services.

Ability to prioritise competing demands, working accurately to specific timescales and demonstrate organisational ability. 

Ability to work on own initiative, with project management skills.

Our purpose is to provide community health services to a patient population of over one million people in Derbyshire and Derby, as part of Joined Up Care Derbyshire.

We employ around 4,200 substantive staff, caring for patients in 11 community hospitals and more than 30 health centres, as well as in clinics, GP practices, schools, care homes and, increasingly, in people’s own homes and via virtual consultations.

During the pandemic response we have led the implementation of public vaccination centres in collaboration with partners across health and social care.

Detailed job description and main responsibilities

  • Oversee the Central booking line, reception and administration functions at Resolve Staff Support Service both on site and remotely.  This will include day to day  management of staff including recruitment, training appraisals and rostering for front of house staff within the team
  • Support the Clinical Lead and Psychological Therapists through the production of letters, reports, agendas, newsletters, papers, minutes, presentations and other documents as required, from written, or verbal instruction.
  • Organise routine and non-routine meetings, conferences and other events and manage all aspects in relation to agendas, supporting papers and attendance liaison.  Take, prepare and circulate minutes and monitor follow up actions as required.
  • Maintain efficient and workable manual and electronic systems and databases, including an electronic filing system, ensuring files and records are stored and retrieved appropriately. 
  •  Be a point of contact for enquiries for the Resolve & Wellbeing management team, take action, where appropriate, and take messages as necessary, ensuring they are forwarded to the relevant staff member in an efficient and timely manner.   Under guidance, provide information in line with existing procedures, policies and corporate approaches to support the office being run efficiently and effectively
  • Ensure resources are ordered as and when requested to facilitate the smooth running of the service.
  • Ensure any communications are cascaded to the appropriate people and deal with enquiries quickly and in a professional manner.
  • Provide appropriate support to key projects undertaken within the service and participate in department events, as required.
  • Support in the facilitation of orientation and induction of new starters within the service, providing them with the necessary link support.
  • Ensure the smooth running of maintenance of the building at Walton and booking appropriate satellite accommodation.
